🔄 Moving from Vagaro to salonMonster
We can import your clients , bookings , products, services and client notes from Vagaro so you don’t have to start from scratch. Just export the data from Vagaro and send it to us — we’ll handle the rest.
👥 Export Your Clients
- Click Reports (top of the screen).
- In the left sidebar, click Customers (under Customers ).
- Click Advanced Filters .
- Under Service Provider , choose the employee(s) whose customers you want to export (use All if available to include everyone).
- Click Run Report .
- Click Export (bottom of the screen) to download an Excel file.
- Email the file to [email protected] .
💡 Tip: If you have multiple service providers and no “All” option, export per provider and send all files.
📅 Export Your Bookings
- Select Reports from the top menu.

On the left side, under Appointments, choose Appointments Summary.
In the Appointment From–To field, set the full date range you want to export.
- Use the first calendar to choose a date before you started using Vagaro.

Use the second calendar to choose a date past today’s date so future appointments are included.
- Click the Submit button.
- Leave the Employees and Customers fields set to All Employees and All Customers.
- Select Advanced Filters.

Open the Appointment Status dropdown.
Turn ON the following statuses:
- Accepted
- Awaiting Confirmation
- Confirmed
- Cancelled
- Show
- No Show
- Ready to Start
- In Progress

Service Completed
- Click Run Report.
- On the right side of the screen, switch to Grid View.

Each appointment status will now appear as its own column.
Click any blue link under one of the statuses (for example Accepted).
- In the window that opens, select the download icon ⬇ in the top-right corner.
- Choose Excel to download the file.
- Repeat the previous steps for each status that has a blue link (Accepted, Awaiting Confirmation, Confirmed, Cancelled, Show, No Show, Ready to Start, In Progress, and Service Completed).
You should end up with multiple files such as:
- AppointmentSummary.xlsx
- AppointmentSummary (1).xlsx
- AppointmentSummary (2).xlsx
Once you have downloaded all available files, send them to us and we’ll combine them to import your full appointment history.
👩⚕️ Exporting Appointments for One Staff Member
If you only need appointments for a specific staff member, you can choose them from the Employee dropdown in Step 5 before running the report.
After that, follow the remaining steps as outlined above.
🧴 Export Your Products
- Go to Settings → Inventory → Management .
- (Optional) Use Search and Advanced Filter to limit which products you export.
- Click Search after applying filters.
- Click Export to download the inventory list to Excel .
- Email the file to [email protected] .
📤 Export Your Services
- Go to Settings → Employees → Employee Profiles .
- In the employee’s Status column, select Services .
- At the top of the screen, select the Download button, then save the list as an Excel file.
- Email the file to [email protected] .
🗒️ Customer Notes
Please note that Vagaro does not provide a standard Notes Report , so we may not always be able to import this data — it depends on how the Excel file is formatted.
You can still send it to us for review, and we’ll check whether it can be imported.
Unfortunately, this report can only be run one customer at a time .
✨ How to Export Customer Notes
- Select Customers at the top of the screen.
- Choose the customer whose notes you want to export.
- Click the Notes tab.
- Export the notes in Excel format.

📤 Send Your Files
- Email your client/product exports and booking calendar URLs to [email protected] , or
- Send them via the in-app messenger .
We’ll import everything and let you know as soon as it’s complete.
✅ That’s it! Once we receive your files/URLs, we’ll handle the migration and confirm when your salonMonster account is fully populated.
